This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our AI-powered voice agent platform and related services (the “Service”). By using the Service, you consent to the practices described in this policy.

1. Information We Collect

a. Account Information

When you register, we collect your name, email address, phone number, brokerage or agency name, billing address, and payment details (processed by Paddle — we do not store full payment card numbers).

b. Call Recordings and Transcripts

The Service records and transcribes incoming calls handled by the AI voice agent. These recordings and transcripts are stored to provide call history, lead tracking, and quality review. You are responsible for notifying callers of call recording as required by applicable law.

c. Lead and Contact Data

Information provided by callers — including names, phone numbers, email addresses, property interests, and buyer/seller status — is captured and stored as lead data within your account.

d. MLS Query Data

Property searches made by the AI agent on your behalf (including addresses, listing details, and search parameters) are logged to support call responses and audit trails.

e. Calendar Data

If you connect Google Calendar or another calendar integration, we access your availability and create showing appointments on your behalf. We access only the minimum data necessary for scheduling.

f. Usage and Technical Data

We automatically collect log data such as IP addresses, browser type, device identifiers, pages visited, and feature usage to operate, improve, and secure the Service.

2. How We Use Your Information

  • Provide, maintain, and improve the Service
  • Process payments and manage subscriptions
  • Deliver call recordings, transcripts, and lead data to your account
  • Send transactional emails (receipts, alerts, onboarding)
  • Respond to support requests
  • Send product updates and marketing communications (you may opt out at any time)
  • Comply with legal obligations
  • Detect and prevent fraud or abuse

We do not use your Customer Data (call recordings, lead data, MLS queries) to train AI models or for any purpose other than delivering the Service to you.

3. Third-Party Service Providers

We share data with the following trusted third-party providers solely as necessary to operate the Service:

Data shared: Billing information for subscription management

Each provider is contractually required to handle data in compliance with applicable privacy laws. We do not sell your data to any third party.

4. Data Retention

  • Call recordings and transcripts: Retained for 12 months from the date of the call, then deleted unless you request earlier deletion or extended retention.
  • Lead data: Retained for the duration of your active subscription, plus 90 days after cancellation to allow data export.
  • Account information: Retained for the duration of your account plus up to 7 years for financial and legal compliance purposes.
  • Usage logs: Retained for up to 24 months for security and performance analysis.

5. Data Security

We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, access controls, and regular security reviews. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security. We will notify you of any confirmed data breach affecting your account as required by applicable law.

6. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate data.
  • Deletion: Request deletion of your personal data, subject to legal retention requirements.
  • Portability: Receive your data in a machine-readable format.
  • Opt-out of marketing: Unsubscribe from marketing emails at any time via the unsubscribe link or by contacting us.

7. California Privacy Rights (CCPA)
